What we collect, why we use it, and the choices available to you.

Who is responsible
VIDA Project Management Ltd, Mauritius (“VIDA”, “we”, “us”), is responsible for the personal information it handles through this website and its enquiries. For privacy questions, contact info@vidaprojectmanagement.com.
Mauritius’s Data Protection Act 2017 is the local framework. GDPR and South Africa’s POPIA are addressed where their scope applies. Information for a commissioned project may also be covered by project-specific notices and appointment documents.
Information we receive
The information involved depends on how you use the site:
- Enquiries: your name, surname, email address, mobile number and the project details you provide in Get started, including stage, category, location, support, team, timing, budget and optional notes. You may also choose to send information or attachments by email.
- Client portal: sign-in credentials are checked by the authentication provider configured for VIDA in Route Royal. The portal retrieves your own profile and projects assigned to your authenticated account. Profile contact updates are sent to Route Royal. Decision, variation and document responses remain demonstration-only until those live services are connected.
- Portal audit records: the actor’s name and email, action, time, relevant response and, where available, the IP address and browser information supplied with the request.
- Technical requests: your browser sends an IP address, requested page or asset and request headers to the server. Hosting systems may log these to deliver and troubleshoot the site.
Enquiries are voluntary. Without suitable contact details we may be unable to respond. Please send only information relevant to your enquiry, and use fictitious details in the portal demo.
Why we use information
Enquiries and related CRM records help us answer questions, follow up and discuss the services you request. This is based on requested pre-contract steps or our legitimate interest in handling business enquiries, as appropriate. Providing an appointed service relies on the contract; legally required records rely on the relevant obligation.
Client portal records support access to your appointed project and management of contact details. A separately enabled demo supports review with fictitious information. Technical requests support delivery, troubleshooting and site protection. These purposes rely on legitimate interests, balanced against your rights. Optional uses that require consent must be offered separately; consent can be withdrawn without affecting earlier lawful processing.
The current site does not use personal information for advertising, sell it, or make decisions about you solely through automated processing or profiling.
The client portal
When configured, the portal uses Route Royal’s authentication service and retrieves projects explicitly assigned to the signed-in account. Session tokens are kept in first-party HttpOnly cookies. The portal does not automatically create an account or project access for a website visitor.
Live contact-profile edits are sent to Route Royal. Signing out removes this browser’s session and project-selection cookies; it does not delete CRM records. Contact VIDA about account access, correction or deletion of project information.
A separately enabled demonstration uses shared sample records. Use only fictitious information there. Demo edits and responses are stored on the demo server and may be visible to other users of that demo account.
Keeping and protecting information
Enquiry and CRM retention is determined by the time needed to respond and follow up, any resulting appointment, applicable record-keeping obligations and unresolved claims. Information should be removed or anonymised when those purposes end. Ask VIDA for the period or criteria applicable to your record; cookie lifetimes do not define business-record retention.
Demo submissions have no automatic deletion schedule at present. They remain in the demo store until it is reset or the records are removed. Cookie expiry is separate from retention of these records.
Use the demo account only with fictitious information. For an enquiry involving confidential material, contact VIDA first to agree an appropriate way to share it.
Your rights and requests
Depending on the circumstances and applicable law, you can request access, correction, erasure or restriction, object to processing, and withdraw consent where processing relies on it.
- Email info@vidaprojectmanagement.com with your request and enough context to identify the information concerned.
- We may ask for proportionate identity verification before releasing or changing information. Please do not send identity documents unless requested.
- Rights can be subject to legal exceptions; a request to erase information may not remove records that must be kept by law or for a legal claim.
International visitors
Accessing a Mauritian website from another country does not, by itself, make every foreign privacy law apply. Where GDPR or POPIA governs a particular activity, the corresponding protections apply.
- GDPR: where applicable, rights include access, correction, erasure, restriction, objection and portability when its conditions are met. Requests normally require a response within one month; a lawful extension must be explained within that month. You may complain to the relevant EEA supervisory authority.
- POPIA: where applicable, you may ask whether information is held, request access or correction/deletion, object as provided by law and complain to South Africa’s Information Regulator. Requests are handled within the applicable legal timeframes.
- Consent withdrawal does not affect processing that was lawful before withdrawal. Any applicable rights concerning automated decisions remain available; the current site does not make such decisions.
Questions and complaints
You can raise a concern with VIDA using the contact details below. You also have the right to complain to Mauritius’s Data Protection Commissioner; you do not have to contact us first.
Changes to this notice
We will update this page when the site’s collection, cookies or portal arrangements change. The date above identifies the latest version. A live portal or new analytics service will need a corresponding update to this notice.
