04 Handover and defects / From completion to closure

Finish with care.
Begin with confidence.

Completion is more than a set of keys. We coordinate the final inspections, system checks and project records, then follow outstanding defects so you understand what is complete, what remains and who is taking it forward.

Complete the project

Five steps to a more considered finish.

The last details need the same attention as the first. We connect inspections, testing, documents and follow-up into a visible close-out process for your home, development or business premises.

  1. Inspect the work. Record the detail.

We inspect the spaces and finishes against the project information and coordinate specialist input where needed. Snags are recorded by location with photographs, a responsible party and a visible status, then followed with the contractor.

    • Room-by-room and external works inspections
    • Photographed snag lists with locations and responsibilities
    • Reinspection and closure records for completed actions
    What you can take forward

A clear list of remaining details and their progress towards closure.

  2. Verify that the systems are ready.

We coordinate commissioning and witness the agreed tests with the responsible contractors and specialists. Demonstrations and test records help connect the installed systems to their intended operation and the information you need to use them.

    • Commissioning activities and applicable specialist checks
    • Water, electrical, cooling, pool or automation systems as relevant
    • Demonstrations, test records and outstanding actions
    What you can take forward

A visible testing record and the system information still required.

  3. Put the useful information in your hands.

We gather the project records into an organized handover pack and track missing information with the team. Drawings, manuals and contacts should help you operate and maintain the space after construction, alongside the agreed system demonstrations.

    • As-built drawings and operating information
    • Manuals, warranties, certificates and supplier contacts
    • An indexed pack and a tracker for missing records
    What you can take forward

A usable set of records and a clear view of any gaps.

  4. Bring the completion records together.

We coordinate the remaining works, close-out actions and commercial records with the team. Final-account and retention reviews follow the agreed contract and our appointment scope, with unresolved items and recommendations made visible.

    • Remaining works, information and close-out responsibilities
    • Final-account reviews and outstanding variation records
    • Retention and completion recommendations within the agreed role

  5. Stay with the details after handover.

If an issue is reported during the agreed defects period, we record it, coordinate the response and track the contractor’s action. Completed remedies are checked within the agreed scope, and the register keeps the status and follow-up visible.

    • Reported issues with photographs and location details
    • Contractor responses, access arrangements and remedy actions
    • Follow-up inspections and the recorded closure status
    What you can take forward

A traceable route from a reported issue to a checked resolution.

The record you keep

Ready to use. Easier to look after.

The handover record should help you understand the building, the remaining actions and the people to contact. It also provides the reference for follow-up after occupation.

Your handover

At the finish. Or with details still open.

We can support the close-out of a project we manage or discuss a focused inspection and follow-up appointment on an existing building. We start by understanding the works, the available records and the responsibilities already agreed.

A project nearing completion
Coordinate inspections, system checks and the records needed for handover.
An independently reviewed handover
Discuss a focused snagging or documentation review around the scope you need.
Outstanding defects after occupation
Bring reported issues and previous responses into a visible follow-up record.

Before taking the keys

A few practical questions.

When should we start planning handover?

Before the works are finished. Inspections, commissioning, demonstrations and document collection need coordination with the programme. Starting while completion is approaching makes the remaining requirements visible.

Can you inspect a project VIDA did not manage?

Yes, we can discuss a focused appointment. We review the available drawings, records, access and responsibilities, then agree the inspection and reporting scope suited to the project.

Does receiving the keys close every outstanding item?

Not necessarily. The handover should make the position clear, including any remaining works, missing information and follow-up actions. The applicable completion and contractual arrangements remain part of that review.

Who carries out the defect repairs?

The relevant contractor or specialist carries out the remedial work under the agreed arrangements. VIDA records and coordinates the follow-up and checks completed actions within the appointment scope.

How long does the defects follow-up last?

The applicable period and obligations come from the project’s contract. We agree our follow-up role around those arrangements and keep the reported issues, responses and status visible.
